Tax Tip of the Month

Good news from the IRS this summer. A new program called the Automatic Exemption from Penalty (AEP) will start waiving certain late filing and late payment penalties automatically, without you having to call and ask. It replaces the old First-Time Abate program and applies if no penalty assessments were made on preceding 3 years of returns.
One catch: the rollout is not instant. If you get a penalty notice this year, do not assume AEP has already covered it. Confirm it with your advisor before you pay anything.

Finance Tip of the Month

It costs 5 to 25 times more to replace a customer or client than it does to keep one you already have.
That number comes from client retention research across professional services, and it holds true whether you call them clients or patients. The fix isn't complicated. Check in with your best relationships before there's a problem. Remind them what you actually do for them.

Your Breakaway Growth Navigator

Last month, we talked about Phase 2 of SOAR: Optimize. Getting current on your numbers instead of running on feel. If you did that work, or you already had a solid handle on your six vital signs, you're ready for the next question.

Can your business grow without you working twice as hard to make it happen?

That's what Phase 3, Accelerate, is all about.

Growth by itself isn't the goal. I've watched plenty of practices double their revenue and end up worse off: more stressed, less profitable, and completely dependent on the owner showing up every single day. Real acceleration means the business gets better as it gets bigger, not just louder.

Three things decide whether growth helps you or buries you.

Pricing power. Can you raise your prices and deliver more value without your costs climbing at the same rate? If every new client costs you almost as much to serve as the last one, you're not scaling. You're just working harder for the same margin.

Operational efficiency. Can you serve more patients or clients without hiring a whole new team to keep up? Documented systems are what let you grow without your overhead outpacing your revenue.

Team leverage. Can the business run for a week without you making every decision or running every play? If the answer is no, you're the ceiling on your own growth.

Here's the trap most owners fall into during this phase: they chase revenue and stop watching margin. More sales feels like winning. But if your net profit margin is shrinking while your top line grows, you're scaling the wrong thing.

Before you add headcount, raise your marketing budget, or open a second location, ask yourself three questions.

  1. Is my gross profit margin holding steady or improving as revenue grows?
  2. Is my revenue per employee going up, not down, as I add staff?
  3. Have I documented my top five recurring tasks so someone besides me can do them?

If you can't answer yes to at least two of those, that's your starting point. Not a new hire. Not a new location. Fix the leak first.

Growth should feel like shifting into a higher gear, not pedaling harder just to stay upright.

Next month, we move into Phase 4 of SOAR: Retire. Once your foundation is solid and your growth is efficient, the final question becomes whether your business can eventually run, or sell, without you at all.

Client Story of the Month

We helped a client turn a $400,000 self-inflicted tax mistake into a $384,000 refund, plus interest.

Here's what happened. After receiving an IRS notice of deficiency, the client tried to fix things by filing their own amended return. One error on that filing increased what they owed by $400,000, instead of correcting it. By the time they came to us, their window to act was almost closed. The team filed a new amended return, took the case to Tax Court, and worked it through two rounds of IRS appeals until we reached the right people to get it resolved. The IRS fully conceded. Our client got every dollar back, with interest.
